n8n vs. Zapier vs. Make for SMBs - remote across Germany
A fair comparison for workflow automation in mid-sized businesses: control, GDPR, cost and when each platform fits - without tool hype.
Comparison
What matters for SMBs
All three can connect systems. Differences show up in self-hosting, complexity and how much control you want over processes.
| n8n | Zapier | Make | |
|---|---|---|---|
| Self-host / GDPR | Strong: self-hosted or EU hosting possible | Cloud-first, less hosting control | Cloud-first, less hosting control |
| Complex workflows | Very flexible (branching, code, error paths) | Good for linear, fast zaps | Strong for visual scenarios of medium complexity |
| Time to start | Short learning curve, more control | Very fast to start | Fast start with visual logic |
| Cost model (tendency) | Often cheaper at high run volume / self-host | Task-based, can rise with volume | Operations-based, watch volume |
| CRM connections | Via API/webhooks and integrations | Many ready-made CRM connectors | Many ready-made CRM connectors |
Recommendation
When each option makes sense
Zapier or Make
A few clear connections, fast results, team without a developer focus. Good as an entry - as long as volume and compliance fit.
n8n
More control, self-host/GDPR, more complex flows or high run volume. Fits when process automation becomes ongoing ops - exactly my focus as an n8n agency.
Honest no
If the interface is missing or the process is unclear, no platform delivers value. Then start with a process audit - not a tool purchase.
CRM
CRM integrations without product comparison
Existing CRMs can connect through n8n, Zapier or Make - what matters is API, webhooks and your real process. We do not sell CRM software or compare CRM products; connection details are on the CRM automation page.
FAQ
Common questions
Do we have to move from Zapier/Make to n8n?
Not necessarily. If Zapier or Make run stably and affordably, we leave them. Switching pays off for control, GDPR/self-host or growing complexity.
Do you also build with Zapier or Make?
Yes, when it fits the case. My focus and money page remain n8n consulting and integration - the recommendation follows value, not stack marketing.
How do we decide in a project?
In the intro call and process audit: systems, volume, privacy, who will maintain the flow later. Then a clear recommendation and setup.
Clarify the right platform?
Briefly describe what should be connected - I say honestly whether n8n, Zapier or Make is enough.
